In large organisations there are may be a requirement for development and staging servers of a website. This allows publishers and editors with easily view and play around with content on a working version of the website before it is published to the live servers.

The development and staging servers also allow for testing and evaluation of extensions and content that is setup on the site but when the editor or web administrator is happy with the content on the site, instead of redoing all of their work again on the live server, the administrator should be able to push their new content and changes live rather than rebuilding again.

This tutorial shows how to publish content live from a staging server using a Joomla component called "Working Copy".

A large part of using "Working Copy" on your website to publish live is setting it up to publish only segments of your site and database.

This is mainly because a large site will require huge amounts of memory.

Publishing Steps to a Live Server

1) Test your site and make sure what you have setup on your site is correct. Inspect the areas that you have changed and make sure that there are now other pending changes in the system that might effect the changes that you are going to make live.

2) Make a list of the areas of the site that you need to publish, for example, Menus, Content Areas, Modules

3) Navigate to Working Copy via the main administrator menu

Components -> Working Copy

Here you will be presented with the different areas that you can publish to the website.

4) Select the desired area that you want to apply and update and hit the Apply Patch button on the top right corner of the screen.

This will start the publishing process for that area of the website.

Now make sure that you have published all the required areas need to make the site go live.


Downsides to Using Working Copy

The reason each part of the site is separated into a different job is because of the memory requirements it takes to dump a database on a local server and then upload that data onto the live server.

Careful and time consuming setup can be tricky but when it is done correctly, it is very well worth it.

The media manager is the perfect place to store your images, videos, and PDF documents. It can be used effectively as a filing system. Media can be uploaded at any time, and retrieved and inserted into articles at any stage.

 Access to the Media Manager is via the Media Manager icon from the Joomla control panel:


or can be accessed by selecting MEDIA MANAGER from the CONTENT menu in the top menu bar:



 Images, Videos & documents can be uploaded to your web site server via the Media Manger by clicking the BROWSE FILES button.


Once uploaded to your website server, your media is now available for use from the Media Manager. You can create and delete folders to better organise your media, and also delete media directly from the Media Manager.


For more advanced control over your media, click the OPTIONS button situated in the top right corner. A window will appear. From this default COMPONET tab that opens you can determone what file types are allowed to be uploaded to your server, and change the file path to where images will default to when uploaded.


The PERMISSIONS tab allows you to allocate permissions to the various types of users. For instance, you may wish to grant an Editor full permission to up load all types of media, an Author only permission to upload images, and a Registered User no permission to upload any media at all.

When creating a new article, Access to an article can be specified using the Article Permissions settings. These setting allow users to be able to edit or even delete articles if they have the authorised access.

First select a profile from the menu on the left, and define the access level from the form on the right. The actions corrospomd with the settings you choose from the drop down menu.

Unlocking an article or module that has been "checked out"

While an article is being created or edited in Joomla, it is given a locked status to avoid a second user logging in and modifying the same article at the same time. This is very important when there are multiple content editors managing a website but there may be times when the locked status is left on the articles, modules or items even though the user that it is locked to is no longer using or editing on the system.

In the Article Manager, articles of this status are denoted with a padlock icon next to the name of the module, article or item that they may have been editing.

However, there may be times you require access to edit a "locked/checked out" article.

 In order to do this, you need to force a "Global Check in". Click on Tools and select Global Check in from the drop down menu.

Once clicked you will be presented with a results screen detailing how many locked and checked out items have been unlocked on the site.

Once you have uploaded a file into to Joomla you will need to create the virtual document within DOCMan.

Navigate to Documents under DOCMan via the main menu in the admin area.


Components > DOCMan > Documents


Scroll down until you can find the name of the file that you are uploading into the system.

Tick the check box and click the New Doc icon in the top right area of the screen.


The Add Document screen will appear.

Enter the required information into the files, Name, Category, Agency and Publication and also check the approved and published states to yes.

To help users understand what the document is, a description of the document can also be entered in the Description area.

*Please note that the only thing that affects the search engine results in Joomla is the Name of the document and lesser so the description. The other fields have no effect.

Click SAVE and your document is now in the system and ready for linking.
